Shopify Exchange Workaround (Without Loop Returns)


This guide explains how to manually process exchanges and returns in Shopify before integrating with Loop Returns. This workaround allows you to manage replacement shipments efficiently within Shopify and ShipHero.


Exchange Workaround: Duplicating the Order


Step 1: Duplicate the Original Order

  1. Log into Shopify Admin and navigate to Orders.
  2. Search for and open the original order that requires an exchange.
  3. Click the More Actions button (three dots) and select Create Order (Shopify does not have a direct “Duplicate” button, so you will manually create a new order based on the original).
  4. Add the same customer to the new order to keep all purchases linked.

Step 2: Remove Items That Are Not Part of the Exchange

  1. In the newly created order, remove any items not being exchanged.
  2. Keep only the replacement items that need to be shipped back to the customer.

Step 3: Mark the Order as Paid & Track Returns

  1. Set the payment status to Paid (this ensures that Shopify processes it without requesting additional payment from the customer).
  2. Use a custom tag "🔁 Exchange" in the tags field to track exchanged orders.
  3. Click Create Order to finalize.

Step 4: Allow Order to Sync with ShipHero

  1. Once the order is created, it will automatically sync into ShipHero for fulfillment.
  2. ShipHero will process it as a normal order and generate a shipping label.

Step 5: Notify Customer & Track the Exchange Shipment

  1. Once the replacement item is shipped, Shopify will automatically notify the customer with tracking information.
  2. You can check the order status in Orders > Filter by 🔁 Exchange to track all pending exchanges.

Step 6: Handling the Original Order After Processing the Exchange

Once you have processed the replacement order, the original order may still have an unfulfilled exchange item in Shopify. To resolve this without affecting inventory, choose one of the following options:

Mark the Exchange as Fulfilled

  1. Open the Original Order in Shopify.
  2. Click "Fulfill Item", then select "Mark as Fulfilled" (without purchasing a shipping label).
  3. This removes the item from the unfulfilled list without affecting inventory.
